Thesis editing and proofreading

Clear English, consistent terms, and every change visible to you.

Yes, we edit and proofread theses and dissertations in Word with tracked changes, so you can see each edit and accept or reject it.

Many scholars come to us like this. The thesis is around 200 pages, written over three or four years, and English is mostly not their first language. Chapter 2 was written in the first year, and it does not sound like Chapter 5 at all. Somewhere in the middle “respondents” becomes “participants”. The guide wrote “language!” in red on page 14 and nothing after that. And submission is six weeks away.

In an edit we touch the English only. Whatever you found and whatever you argued, that we leave as it is. Along with the tracked file we send short list of questions we could not decide on our own, like which of two terms you meant.

Who this suits

  • Your supervisor gave back a chapter with remarks like “rewrite in proper English” or “too many grammatical errors”, and you are not sure where to begin.
  • The content is approved and the thesis is complete. Before the bound copies go for printing, you want one full check of the language.
  • Chapter 1 you wrote in the first year and Chapter 4 only last month, and when read together it feels like two different people wrote them. In one chapter it is past tense, in the next one it is present. Some abbreviations you have expanded three separate times.
  • A Master’s dissertation is due in two weeks and you need a quick but careful proofread.

What you get

The edited file in tracked changes

We work in your own Word file. Every change shows in Review › Track Changes, and nothing is changed quietly. You click Accept or Reject on each one, and what stays in the thesis is up to you.

Comments where we weren’t sure

Some sentences can be read in two ways, and only you know which one you meant. For such a sentence our editor writes a margin comment asking you. Under that comment we type two versions of the sentence, one for each meaning, and you pick.

A consistency sheet

One page with the decisions we followed across the thesis. First line says if we used British or American spelling. Then whether you write “data is” or “data are”. How numbers are written, that is also there. For each key term you will see the one form we kept, and for abbreviations where we expanded them the first time.

Reference cross-check

We check each in-text citation against the reference list. Then each list entry is checked to see it is cited in the text. No year, no page numbers, no DOI? Such an entry we mark for you to fill. We don’t add any source you have not used.

Front and back matter read too

We also read the abstract, acknowledgements, list of abbreviations, table and figure captions, and the appendix titles. Examiners look at these pages first. Many times scholars skip exactly these pages in their own checking.

A walkthrough of the patterns

We have a short call about the mistakes that came again and again in your writing, like article use or long strings of nouns. After you see your own repeat mistakes once, you start catching them while typing the next paper itself.

How the work runs

  1. Send one chapter first

You can send the full thesis, or only one chapter to test us. We read some pages and tell you which level of edit is needed. If only typing slips and commas are wrong, a proofread is enough. When the grammar is weak and sentences are hard to follow, you need the language edit, where we rework the sentences also.

  2. Agree the level and the style

The written scope mentions the level of edit, British or American spelling, the reference style your university follows, and the delivery date. If your guide likes certain terms or phrasings, tell us at this stage itself.

  3. We edit in tracked changes

We return the chapters one by one in tracked changes. That way you can start accepting edits in one chapter while we are working on the next. The consistency sheet keeps growing as we go, and you can ask for it any time.

  4. You review and ask

Go through all the edits. When some edit looks wrong to you, send the page number on WhatsApp and we will tell why we changed it. Don’t accept any change you are not convinced about.

  5. A final read after your changes

Once you finish accepting and rejecting and add your supervisor’s last comments, we do one quick final pass. This catches any new slips.

Ask about thesis editing and proofreading

Only four fields to fill. We will call or WhatsApp you back by the next working day, and many times earlier than that. First talk with us is free, you don’t pay anything for it.

We reply on the next working day. Your details stay with our team.

How long it takes

WorkTypical timeDepends on
Proofread of a Master’s dissertation, 60 to 100 pages3 to 5 working daysHow clean the draft is already
Language edit of one PhD chapter (25 to 40 pages)3 to 4 working daysSentence-level problems and how technical the text is
Language edit of a full PhD thesis (200 to 300 pages)2 to 4 weeksLength, condition of the English, and how quickly you reply to our comments
Final proofread after your edits2 to 4 working daysHow many new changes you made
Only the reference cross-check2 to 3 working daysNumber of references and how they were managed

These timings are for content that is already settled. Suppose your guide is still asking for big changes in the chapters. Then wait, and send for editing only after that is over. Otherwise it can happen that you pay for a chapter, then the guide asks to rewrite half of it, and you pay again. We can start now on chapters your guide has approved.

What it costs

The price depends on the length and on how much work your draft needs. If the draft is clean and needs only a proofread, the per page rate is much lower. When most sentences have to be written again, it costs more. We read a sample before we quote, so the written scope is based on your actual text and not on guess.

How we scope and quote

The quote depends on

  • Number of pages or words, with the reference list not counted
  • Proofread only, or a full language edit
  • How technical the text is, with equations, tables or chemical names
  • Whether you need the reference cross-check
  • How quickly you need it back

Questions scholars ask

What’s the difference between proofreading and editing?

Proofreading is the last cleaning. A wrong spelling, a double space, a missing comma, a caption without full stop, these we fix. In a language edit we go inside each sentence. Wrong grammar we correct, a weak word we change, a very long sentence we break. And we read whether paragraph to paragraph the link is clear. For most PhD theses written in a second language, a language edit is needed first and then a proofread at the end.

Will the edits make it sound like someone else wrote it?

That should not happen. Wherever your sentence order and your terms are working, we keep them. We change only what is wrong or unclear. Still, if you read some line and feel this is not how you talk, reject it. Every edit is in tracked changes, so that is one click.

Do you edit LaTeX files?

Yes, though most scholars in India write in Word. LaTeX has no built-in track changes. So we edit the .tex source and mark the changes in a method we agree with you beforehand.

British or American spelling?

We follow what your university or guide expects. Very few of the university rulebooks we have read mention it. So mostly we go with the spelling you have used more, and apply it everywhere. That choice is written on the consistency sheet.

Can you also fix my references to APA or IEEE?

The cross-check finds references that are missing and references that are never cited. Changing a whole list from one style to another is formatting work, and we can add it to the same scope. Anna University’s Centre for Research is one example. There they want author and year inside the text, and the list at the end goes by alphabetical order. At Anna your own papers are not put in the reference list. They are listed separately, and one of the common mistake we see is scholars missing this.

My chapter is in Tamil or Telugu. Can you edit it?

Our editing is only for English text. If your thesis in languages or literature is written in another language, we can still help with the English abstract and the front pages.

What do examiners notice first?

Mostly the abstract, the first page of Chapter 1 and the tables. Suppose the examiner finds errors in the first five lines of abstract. Then he reads the rest of the thesis already expecting more errors. That is why the abstract and front pages are part of every language edit.

Is this enough for my viva?

A language edit helps the examiners follow your thesis, but in the viva they ask about the work itself. If your viva is near, see our viva preparation also.
